What kojiex is

kojiex is a career tool. It is operated by kojiex Limited, the New Zealand company built for it, which took the service over from Neonpale Limited: the same people, the same product, the same promises, now under the company that carries its name. It interviews you about your work, then writes a CV, a set of interview stories, and coaching notes, using your own words as the source.

kojiex is not a recruitment agency, an employment lawyer, a career counsellor, or a psychological service. Nothing it produces is professional, legal, or employment advice. It does not apply for jobs on your behalf and does not guarantee any outcome, interview, or offer.

You are buying a process and the documents it produces. What kojiex writes comes from what you tell it, and only from what you tell it. Give it a lot to work with and it will write well. Give it very little and the documents will show that.

Who may use it

You must be at least 16 years old, and you must be the person whose career the account describes.

Your account is for your own career, and only yours. kojiex builds one person's record over time: your roles, your stories, your evidence. You may not create an account for somebody else, create CVs or application material for other people from your account, or write about somebody else's work as though it were your own. Two careers in one record protects nobody's privacy and produces a correct CV for no one.

You confirm the career information you enter is your own. Where your stories mention other people, such as colleagues or referees, you are responsible for having a proper basis to include them.

Access is currently by invitation: either an organisation buys products for its people, or we set your account up directly.

Your account

Use a personal email address, not a work one. Your account and everything in it belongs to you and survives your employment. If a work address is the only one you have, change it in Account while you can still receive mail there.

Your account name and sign-in email are yours. If you change either, no organisation you hold a product from is told, and their records do not change.

Keep your sign-in secure. Sign-in links and one-time links are as good as a password: do not forward them. Tell us promptly if you think somebody else has access to your account.

What we tell you

Whenever you are given something, or your standing changes, we tell you. You are emailed when a product is added to your account, whoever added it, and when you gain or lose organisation-administrator rights. If you lose administrator rights, that email will say plainly that your account, your products and your work are untouched, because they are.

Your consent to AI processing

kojiex cannot work without sending your words to its AI processors, so it asks for a specific, separate consent before anything is sent: once, at onboarding or the first time you start a product. It covers the drafting (Anthropic, US) and the optional voice features (ElevenLabs, US; dictation is transcription only and the audio is not kept). The consent is recorded with its version and date.

You can withdraw it at any time in Account. Withdrawing stops the interviews, drafting, and voice features; your account, your finished results, export, and deletion keep working. Consent is asked again if what we send, or who processes it, materially changes.

Your content is yours

Everything you tell kojiex, and everything kojiex writes from it, is yours. We claim no ownership of it. We do not sell it, and we do not use it to train AI models. We never use your content to improve kojiex; there is no setting for this, because the answer is always no.

You grant us only the permission we need to run the service for you: to store your content, to send it to the AI provider that drafts your documents, and to render your PDF. That permission ends when you delete your content.

What kojiex writes, and what you are responsible for

kojiex drafts. You decide.

Every generated line must trace back to something you said. The system is instructed never to invent numbers, dates, team sizes, employers, or job titles, and that instruction cannot be turned off. It will not make a document say something you did not tell it.

Even so, AI makes mistakes. You are responsible for checking that everything in your CV and your stories is true before you send it to anybody. Read your CV, your cover letter, and your interview material before you finalise, download, or send them. You can edit every word of the documents you download and send. Misrepresenting your experience to an employer is your risk, not ours.

Products and purchases

Each purchase entitles you to one product: one interview and the set of results it produces. Buying the same product again entitles you to run it again.

When a product is used. A product is used when you start its run, not when you finish one. From the moment you start, we are paying for AI processing on your behalf, and that cost cannot be recovered. If you stop part way through, it stays used.

Nothing expires. A product you hold does not expire. A run you have started stays open to you for as long as you have your account: you can leave it and come back to it whenever you like, years later if you want, and it picks up where you left off. Nothing you said is lost. A finished CV stays in your account. This is why a started run is not refunded when you change your mind: it is not gone, it is waiting for you.

If we ever introduce an expiry on products bought in future, it will not be applied to anything you have already bought.

Editing and rewriting. You can edit every word of the downloadable documents kojiex writes (like a CV or cover letter), always, and at no charge. Most pieces can also be regenerated, and how many times depends on the piece; the product tells you what you have left as you go. Where a document is complete and correct but not what you hoped for, editing and regenerating are the answer rather than a refund.

Moving around inside a run is free: you can go back and redo an answer as much as you like. Finalising is final. It locks the interview, and neither you nor we can reopen it: there is no route anywhere in kojiex that can. Your wording and your template stay editable for as long as you have the account. Running the interview again is a new run and needs the product bought again.

If something goes wrong at our end. If a run fails because of a fault in our service, so you cannot finish it or cannot get the results it was meant to produce, tell us. We will fix it, run it again, or return the product to your account unused. We rely on you telling us, so please do, and please give us that chance before going elsewhere: it is usually the fastest way to get you what you paid for.

Refunds. A product spent on a run, finished or abandoned, is not refunded as a change of mind. If you think you have a reason we should look at, email support@kojiex.com and tell us what it is. We read every one.

Products bought by an organisation. An organisation buys seats and assigns them to named people.

Assigning a seat is a one-way step. Once a seat is assigned it belongs to that person, and the organisation cannot get it back, move it to somebody else, or have it refunded. It makes no difference whether the person has used it: we do not tell an organisation whether or how any of its people used kojiex, so there is no version of a refund conversation that does not answer a question we will not answer.

Seats do not expire. A seat an organisation has bought but not yet assigned stays in its pool until it is used, and can be assigned to anyone at any time, including people who join later.

You can hold products from more than one organisation at the same time, on one account. Neither is told about the other, and neither can tell that the other exists.

If you leave an organisation, your account, your products, and everything made with them stay with you.

Paying. kojiex does not currently take card payments. Purchases are agreed with us and invoiced. A request made in the app becomes an order when we confirm it and issue an invoice.

If you dispute a payment. If you ask your bank or card provider to reverse a payment, they ask us to show what was agreed and what was delivered. To answer, we pass our record of your purchase to our payment provider and to the card network: which version of these terms you accepted and when, when you first signed in, what you bought, what you paid and when, and when the work was started and delivered and which payment it came from. We do not send them your CV, your interview answers, or anything else you wrote. We keep that record even after you delete your account, and the privacy statement sets out exactly what it holds and for how long.

We may change prices. We will not change the price of something you have already paid for.

None of this affects your rights under the Consumer Guarantees Act 1993 where you buy as a consumer. Those rights sit alongside everything above, and we cannot remove them.

What your employer is told

If an organisation bought a product for you, it keeps its own record of what it did: the name, email, job title and team its administrator typed when assigning you, and its own tally of what it handed out. That record is theirs, and its name, email, job title and team are erased on their own retention schedule.

We do not tell them anything about your use of kojiex. Not whether you started, not how far you got, not when you were last here, and nothing you wrote or said. Not on a screen, not in a report, not in an email, not in answer to a question, and not by implication from anything else they can see.

They are never given an identifier for you that means anything outside their own records. If you hold products from two organisations, neither can tell it is the same person. If you change your name or your sign-in email, they are not told and their records do not change.

The Privacy statement sets out exactly what an organisation holds and for how long.

If something is wrong

Tell us at support@kojiex.com and say what happened. We will work out with you which of these it is, because the answer is different for each:

  • The service failed and you could not get what you paid for. We fix it, re-run it, or return the product to your account unused.
  • The documents came out thin because the interview had little to work with. Add more and rewrite; we will help you find what is missing.
  • The documents are complete and correct but not what you wanted. Edit and rewrite them. They are yours to change.
  • You started and did not finish. Your run is still open. Come back to it whenever you like.

Where a problem is minor, the Consumer Guarantees Act gives us the chance to put it right first, and we would rather use it. Where a problem is serious and cannot be put right, you can cancel, and we will agree with you what is fairly payable for work already done properly.

Fair use of the AI features

The interviewing, drafting, and voice features carry hourly limits per person and across the platform. Do not automate, script, or resell access to them. We may suspend an account that does.

What you may not do

  • Reverse-engineer, copy, scrape, or resell kojiex or its content
  • Use it to write a CV that misrepresents somebody's experience
  • Upload content you have no right to, or that is somebody else's personal information. Publicly advertised job ads are the one exception: we read the ad, take what the job asks for, and discard the text without keeping anybody's name. Do not paste ads sent to you in confidence
  • Attempt to reach another person's account or content
  • Use the service to break New Zealand law

Voice features

The interviewer's voice, and dictating your answers, are optional. With voice on, spoken lines and dictated answers go to ElevenLabs (United States): spoken lines are turned into audio, dictation is transcription only, and the audio is not retained. Every request is sent with logging switched off, and our account is opted out of model training. The Privacy statement has the detail. Type instead if you prefer.

Availability

We aim to keep kojiex running, but we do not promise uninterrupted service. We may change, suspend, or retire features. If we retire something you have paid for and not yet used, we will refund or replace it.

We may suspend or close an account that breaches these terms. If we close your account, you keep the right to export your data first, unless the law prevents it.

Ending it

You can delete your account at any time in Account, "Delete my account". It is permanent, and it removes your CV, interviews, stories, coaching, anything you have not started, and everything else in your account. If a deletion cannot be completed in full, it stops rather than reporting success, and we look at it.

Deleting destroys anything you have not started, whoever paid for it. We will tell you how many you have before you confirm, so the choice is yours to make knowing it. Once you delete, they are gone.

If your account is untouched for about five years we will email you a reminder, a second one a month later, and delete the account a month after that, including anything you have not started. Signing in once resets this. The Privacy statement has the detail.

If you administer an organisation and are its only administrator, we will ask you to hand that role to a colleague first, so your colleagues keep access to their own work. You may decline, and we will still delete your account.

Liability

To the extent the law allows, kojiex is provided as it is. We are not liable for any employment outcome, any decision made on the basis of what kojiex produced, or any indirect or consequential loss.

If you bought your own products, and where liability cannot be excluded, our liability to you is limited to what you paid us in the twelve months before the claim.

If an organisation bought your product, you have paid us nothing. There is nothing for us to refund you, and what we owe for that purchase is owed to that organisation under our agreement with them, not to you.

Nothing in these terms limits your rights under the Consumer Guarantees Act 1993 or the Fair Trading Act 1986 where those apply to you. Under the Consumer Guarantees Act our service must be carried out with reasonable care and skill and must be reasonably fit for a purpose you told us about before you bought. Where it is not, you have rights these terms do not and cannot remove.

Changes

If we change these terms materially, we will tell you in the app and ask you to accept the new version before you continue.

Governing law

These terms are governed by the laws of New Zealand, and the New Zealand courts have jurisdiction.
